Employee Mobile Phone Policy
Policy brief & purpose
This employee Mobile phone policy outlines our guidelines for using mobiles at work.
We recognize that mobile phones (and smartphones especially) have become an integral part of everyday life. They may be a great asset if used correctly (for productivity apps, calendars, business calls etc.) But they also cause problems when used imprudently or excessively.
Scope
This policy applies to all our employees.
Policy elements
Despite their benefits, mobile phones may cause problems in the workplace. Employees who use their phones excessively may:
1. Get distracted from their work.
2. Disturb colleagues by speaking on their phones.
3. Cause security issues from inappropriate use of company-issued equipment or misuse of the company’s internet connection.
4. They may cause accidents if they illegally use their phones inside company vehicles or near areas where using phones is prohibited.
All employees who carry their phones on their person at work must:
a. Use company-issued phones for business purposes only and preserve them in perfect condition.
b. Always ensure their phone is set to vibrate, silent or do not disturb at all times in the hotel, whether it’s a personal phone or a company issue phone.
c. Make personal calls only during break times in or outside the Ambassadors lounge and away from other colleagues.
d. Be discreet when taking business calls in public areas and never answer calls when talking with guests unless the call is relating to that guest.
Employees are not allowed to:
a. Make personal calls or personal social media interactions during work time
b. Carry mobile phones on their person in public areas of the hotel unless they are set to silent, do not disturb, or vibrate.
c. Play games on their phone during working hours.
d. Use their phone’s camera or microphone to record company information or guest’s conversations.
e. Use their phones in areas where mobile use is explicitly prohibited (e.g. service areas, in view of guests, near fuel tanks)
f. Speak on their phones within earshot of colleagues’ working space during working hours.
g. Download or upload inappropriate, illegal or obscene material on a company mobile phone.
h. Use their phones for any reason while driving a company vehicle.
Allowed use of mobile phones in the workplace
Employees can use mobile phones at work in the following ways:
(Always away from guests and public view)
a. To make business calls.
b. To use productivity apps and messaging apps for business use.
c. To check important SMS messages
Disciplinary Consequences
Our company retains the right to monitor employees for excessive or inappropriate use of their phones. If an employee’s phone usage causes a decline in productivity or interferes with hotel operations, we will ban that employee from using their phone completely.
Employees may face severe disciplinary action up to and including dismissal, in cases where they:
1. Cause a security breach.
2. Violate the company’s confidentiality policy.
3. Cause an accident by recklessly using their phones.
